From launch to paid-for in a single enrollment

The most memorable moment of the launch didn't come from a metric. It came from a person.

Alexandria found the academy's website on April 22, the day Mia went live. She opened the chat, asked about the cosmetology program, and had a real conversation about class dates and what the program covered. Mia offered her a tour. She booked it directly through the conversation. She toured. She enrolled.

The entire loop from first website visit to enrolled student happened in hours, on the same day the system went live, without an admissions rep touching the conversation until the tour itself.

03 · The pain before

A chat window without a conversation

The academy was already attracting prospective students online. The team believed it could do more with them.

The existing website chat was there to receive inquiries. It didn't do much beyond that. It couldn't ask a prospective student what program interested her. It couldn't tell her when the next cosmetology cohort started. It couldn't book her a tour. It couldn't tell the admissions team who was on the site or what she was looking for. Website traffic was arriving. Most of it wasn't converting.

Before Lumion, the academy was capturing about 2 qualified leads on their best days. Roughly 50 in a typical month. Demand was there. Conversion wasn't.

Lead capture on its own wasn't the problem. The problem was that lead capture treats a prospective student as a form to be filled out, when the actual buying moment is a conversation to be had.

Pivot Point Academy's admissions team worked with Lumion to redesign the website experience around that insight. The academy deployed Mia, Lumion's AI admissions assistant, and configured her to start conversations grounded in the school's actual programs, class dates, and admissions process. The chat window stopped being a form. It became an assistant.

The admissions team stayed in the loop from day one. They reviewed real conversations, refined Mia's responses, adjusted her engagement timing, and taught her how the academy actually talks to prospective students. Conversation, not form.

Mia opens the interaction with a natural question tailored to the visitor's context. If a visitor is on the cosmetology program page, the opener is about cosmetology. If she's on the barbering page, it's about barbering. Every conversation stays grounded in the specific program the visitor came in through, and every response reflects the academy's actual voice and offerings.

The reason the system worked at launch, and kept getting sharper, was that the admissions team never treated Mia as a black box.

Every week, the team reviewed real conversations Mia was having with prospective students. They flagged responses that missed the mark. They rewrote the ones that could be sharper. They added answers Mia hadn't been trained on. They adjusted her engagement timing so she felt like a natural extension of the admissions team rather than an interruption.

That refinement loop is why the tool kept getting better. Mia doesn't sound like a chatbot pretending to be a person. She sounds like the academy talking about the academy.

08 · What's next

Beyond admissions

With admissions dialed in, the academy is expanding Lumion's role.

Customer service automation for enrolled students is next. Additional AI agents for specific operational workflows. Deeper enrollment-journey automation across email and text. The academy is building the same "conversation, not form" pattern into every part of the student experience, not just the first website visit.

Each expansion runs on the same student record. The conversation with Mia at the top of the funnel, the payment plan the student signed after enrolling, the SMS reminder about the first day of class, the check-in message during Week 3. All of it lives on one record. All of it feeds the AI that reasons about the student's specific state.
